Job Description

Position: Coordinator/Retail Services Location: K-State Student Union, 918 N. Martin Luther King Jr. Dr., Manhattan, KS 66506 Summary of Position: Responsible to work under the direction of, and in coordination with, the Assistant Director/Retail Services to ensure a customer-centric experience for all food service, catering, bowling, and esports patrons in the Union. Department: Retail Services Status: Union Support Staff, full-time, non-exempt Supervisory Responsibility: Lead only Work Schedule: May include evenings and weekends, as needed; generally, Monday - Friday 9 AM - 6 PM with an hour meal break; 40 hours/week Pay range: $33,280 - $36,608 Supervised By: Assistant Director/Retail Services Date Position Closes: 09/24/23 at 5 p.m.

Qualifications:

Qualification Requirements:

Education - Minimum

High school diploma or equivalent.

 

Education – Preferred

-Current ServSafe certification.

-Higher educational courses in hospitality management, business, or food science.

-Degree or certificate from an accredited school of culinary arts.

 

Experience – Minimum

-Demonstrated Previous food service and/or catering experience;

-Knowledge and experience with federal and state food handling and storage laws and regulations;

-Excellent verbal and written communication skills;

-Proficiency with Microsoft Office software and web-based communications (ie. Zoom, Teams);

-Customer-centric service;

-Flexibility to work evenings and weekends as necessary;

-Become ServSafe certified within one month of hire.

 

Experience – Preferred

Demonstrated One or more years of demonstrated work experience in a university and/or student union environment.

 

Skills and Abilities

Ability to move throughout facility, to include catering kitchens. Full range of physical motion (ie. bend, stoop, reach, grasp) to operate and manipulate equipment and inventory. Sight and ability to read printed material, operate POS system, and count money with or without vision aids. Verbal and written communication to present, convey and exchange information and ideas accurately and quickly. Physical agility to lift, carry, and/or pull up to 30 pounds. Hearing for average or normal conversations and to receive information. Ability to safely operate and clean slicers, fryers, grill. The scope of the job requires attendance at evening and/or weekend activities as necessary and directed. Job Responsibilities

Key Functions:

Chick-fil-A– Specific

50%: Assist unit during peak times and during staff shortages (e.g. university-recognized holidays and breaks). Support, and take direction from the manager/retail services. Maintain operational knowledge of procedures and processes. Assist with catering coordination, preparation, and delivery of product. Ensure storeroom is organized and stocked appropriately based on need. Assist in ensuring operations comply with U.S. Food and Drug Administration (FDA) regulations.  Maintain clean and safe work environments in accordance with established health and safety standards. Monitor food quality. Assist with ensuring food service standards and audits are met. Follow up on inspection findings and assist in implementing necessary changes. Identify and report potential safety hazards.   Assist with ensuring all CFA franchise and Union policies and procedures are followed.

Assist with the management of financial objectives by reviewing regular forecasts, limiting labor costs, growing sales, and controlling inventory and cost of goods within budget margins. Ensure customers receive efficient, friendly, and superior service. Assist with monitoring guest satisfaction and resolve customer complaints. Assist with cash management functions to include POS systems. Coordinate with the manager/retail services in the hiring and evaluating of team members in line with established standards, as necessary. Assist with the development and coordination of employee work schedules.

Catering - Specific

15%: Assist with soliciting and coordinating catering business and act as representative/liaison to approved caterers. Attend pre-event planning meetings for catered events to ensure a successful event for the customer. Assist with prepping for catered events as well as supervising the events; addressing any catering-related concerns and issues. Maintain cleanliness and organization of catering kitchens. Inspect catering kitchens post-event and report findings to supervisor. Ensure compliance with all federal, state, and local food safety standards and liquor laws in Union-operated retail venues and catered events; inform supervisor of any deficiencies. Assist with product production and placement for catered events (e.g. coffee, beverages, et al.). 

Entertainment Operations (includes Bowling and Recreation, Hunt Brothers Pizza, and Esports) - Specific

15%: Assist with all lower-level entertainment center operations during peak times, special events, tournaments, and promotions, and when staffing shortages occur. Support and take direction from manager/bowling and recreation.

Affiliate Food Service - Specific

10%: Liaise with each affiliated food service operation, including off-site affiliates. Coordinate communication of operational hours, work orders, IT-related issues, and weekly promotions. Respond to general retail services-related correspondence and requests. Submit retail services-related work orders. Serve as liaison for affiliate catering orders. Compile information and reporting for Pepsi contract. 

Other Duties

10%: Perform other duties as assigned and instructed.
